Getting started

Onboard a new hire: paperwork, documents and Form I-9

Start someone's onboarding and they get one list: tax and bank forms, your documents to sign, and Form I-9. You see what's done and complete your part.

Steps

  1. Add the person under Employees first. Then open Account, Onboarding, and choose Start onboarding: pick them, their first day and the documents to sign.
  2. Under Documents to sign, add your handbook or policies once (typed or as a PDF). Each signature keeps the exact version the person saw.
  3. The person gets an email and finds everything under My onboarding: address and SSN, W-4, state form and bank account (with Worktrim payroll), each document, and Form I-9 Section 1. Payroll forms tick themselves off once filled in.
  4. Form I-9: they complete Section 1 by their first day. On their first day they show you original documents of their choice; you record them and sign Section 2 within three business days.
  5. With Worktrim payroll, State new-hire reports lists each new hire with the state's deadline (20 days or fewer). Open one to see what the state asks for, file it on the state's site, and record it.
