Report payroll by class code for workers' comp

Give each position or person the class code from your workers' comp policy, then get payroll by class for the insurer's audit and pay-as-you-go reports.

Needs a plan with payroll (Payroll, Pro, or Senior Care with payroll).

Steps

  1. Open Payroll, then Workers' comp. Under Class codes, add each code from your policy's declarations page with its state and its rate per $100 of payroll.
  2. Under Who is in which class, give positions their class (hours clocked under a position count in its class) and give each person their own class for the rest of their pay.
  3. Under Policy, enter the insurer, the policy number and dates, and whether your state leaves the overtime premium out of payroll (most do) and counts tips.
  4. Payroll by class adds up every run paid in the period by pay date: gross wages, the overtime premium left out, tips, reportable payroll and an estimated premium from your rates. Export it as a CSV for the audit.
  5. For pay-as-you-go, open a run in Payroll history and choose Workers' comp, then Pay-as-you-go file. A finished run keeps the figures it was first reported with; re-classify it from the same menu if a code was wrong.
