File W-2s and 1099-NECs electronically

Download the W-2 file for the Social Security Administration and the 1099-NEC file for the IRS from Year-end, then upload them yourself by February 1.

Needs a plan with payroll (Payroll, Pro, or Senior Care with payroll).

Steps

  1. Get a Business Services Online (BSO) User ID from the Social Security Administration if you don't have one. It is personal to whoever uploads the file.
  2. Open Year-end: W-2s and tips, choose the tax year, and under File electronically enter your BSO User ID and the kind of employer from Form W-3 box b.
  3. Fix anything listed under "Before the file can be made": usually the company EIN or address, or an employee's Social Security number or address.
  4. Download the W-2 file (EFW2) and upload it in Business Services Online. It replaces paper Copy A and Form W-3.
  5. Download the 1099-NEC file (CSV) for contractors paid through payroll who reached the year's threshold, and upload it in the IRS IRIS Taxpayer Portal.
  6. Both files hold full Social Security numbers: delete them once they are uploaded.
